Rate increase email to existing clients

A respectful but confident rate-increase email for existing clients — gives advance notice, frames the change around value, and gives the client a clean out.

When to use this

Send this to an existing client when you've decided your rate is going up. Good triggers: you've worked together for 6+ months, your skills have grown, your market rate has moved, or you've taken on more responsibility on their account than the original scope.

Why it works

Most rate increase emails fail because they sound apologetic, they spring the change on the client tomorrow, or they over-justify the new number. This template does the opposite: it gives a clear effective date in the future, frames the change as normal business, and offers a clean out so the client never feels cornered.

How to customize

  • Give at least 30 days of notice. 60 is better. This is the single most important thing.
  • Don't apologize. Don't over-explain. One honest sentence of context is plenty.
  • If the jump is more than 20%, offer to grandfather the old rate for one more cycle. Most good clients say yes to the new rate anyway.
  • Never send this while there's an open issue or billing dispute. Resolve that first.

The template

Subject: Heads up — rate change effective [Month Day, Year]

Hi [Client first name],

Quick note, well in advance. Starting [Month Day, Year — at least 30 days out], my rate is moving from [$X/hr or $X/month] to [$Y/hr or $Y/month]. This applies to new work and renewals after that date.

A bit of context: [one honest line — e.g., "I've grown the scope of what I handle on your account over the past year" / "I've significantly upgraded my toolchain and delivery quality" / "Market rates in my niche have moved and I've been under-priced for a while"]. I didn't want to raise it quietly on an invoice, which is why I'm sending this ahead of time.

Nothing else changes — same availability, same communication, same deliverables. Any work in progress or already-scoped projects stay at the current rate until they wrap.

If the new rate doesn't work for your budget, I completely understand. We can either scale the scope down to fit, or wind the engagement down cleanly by [a specific date, usually 2-4 weeks before the new rate kicks in]. No hard feelings either way.
