Project proposal template

A short, structured freelance project proposal template — situation, scope, timeline, pricing, and next steps. Designed to close clients faster.

When to use this

For any freelance proposal, small or large. I keep mine between 400 and 900 words — anything longer and the client stops reading halfway through. If it's under 400, it usually hasn't said enough.

Why it works

Proposals lose clients in two ways: they over-explain the how, or they never say what it costs and what happens next. This one is built around the four things the client actually cares about — what's going on, what we'll do, what it costs, when it starts — and it keeps the fluff out.

How to customize

  • Fill in the bracketed fields with specifics from your discovery call, not guesses.
  • Pick one pricing structure and commit to it. Don't offer all three options to the same client.
  • Tighten or drop sections if the project doesn't justify them.
  • Send it within 24 to 48 hours of the call, while the conversation is still fresh.

## 1. Situation

[2 to 3 sentence summary of the client's current situation. Reference specifics from your discovery call.]

Example:

[Client] is preparing to launch a new pricing tier in Q3 and currently sees 1.4 percent conversion on the pricing page. The goal is to lift conversion above 2.5 percent before launch.

## 2. Goals

- [Goal 1, ideally measurable]
- [Goal 2]
- [Goal 3]

Example:

- lift pricing page conversion above 2.5 percent
- reduce time-to-decision by adding clearer comparison
- align tone with brand voice for B2B SaaS founders

## 3. Approach

[2 to 4 paragraphs describing your approach. Show judgment, not just deliverables.]

Example:

I will start with a one-week discovery to understand customer language and current funnel. Based on that, I will rewrite the pricing page using a clarity-first structure, build a tier comparison module, and draft FAQ content for the most common pre-purchase questions.

## 4. Deliverables

- [Deliverable 1]
- [Deliverable 2]
- [Deliverable 3]

Example:

- new pricing page copy (hero, tiers, comparison, FAQ)
- supporting page copy for upgrade flow
- two rounds of revisions per page

## 5. Out of scope

[Clearly state what is not included.]

Example:

- design and visual production (assumes existing design system)
- A/B testing setup
- post-launch optimization

## 6. Timeline

| Phase | Duration | Date |
| --- | --- | --- |
| Discovery | Week 1 | [Date] |
| First draft | Week 2 | [Date] |
| Revisions | Week 3 | [Date] |
| Final delivery | Week 4 | [Date] |

## 7. Investment

Pick one structure:

### Option A: Single project price

[Total amount]

Payment terms:
- 50 percent deposit on signed agreement
- 50 percent due on final delivery

### Option B: Three tiers

| Tier | Includes | Price |
| --- | --- | --- |
| Starter | [Scope] | [Price] |
| Growth | [Scope] | [Price] |
| Premium | [Scope] | [Price] |

### Option C: Hourly with cap

[Hourly rate], capped at [hours], not to exceed [total amount].

## 8. Assumptions

- [Assumption 1]
- [Assumption 2]
- [Assumption 3]

Example:

- client provides brand guidelines and logo files in week 1
- one stakeholder reviews each round
- responses to drafts within 5 business days

## 9. Why work with me

[2 to 3 sentences and one or two relevant case study links.]

Example:

I have written conversion-focused pricing pages for B2B SaaS for the last 4 years. Recent example: helped [client] lift conversion from 1.6 percent to 3.1 percent on a similar redesign. Full case study: [link].
